Privacy Policy

What this website collects, why it collects it, where it is kept and how to have it removed. Written in plain language, with no claims we cannot back up.

Effective date: October 30, 2026

Review notice. Plain-language draft for review — not legal advice, and not yet reviewed by a qualified professional. It describes what this site actually does today and will be revised as the business grows.

What this policy covers

This policy covers this website and the enquiries people send through it. It does not cover a service agreement with a client business — those are handled by the agreement itself, which has its own terms about the data we handle on a client's behalf.

The site is operated by VoxRecept Solutions, a managed business-automation service for appointment-driven businesses.

What we collect

We collect only what someone types into a form on this site. If you send the contact form, that is your name, email address, phone number (optional), business name (optional), trade, service interest and your message. If you request a consultation, it is your name, business name, email address, phone number, trade, business size, the main challenge you selected, how you would prefer to be contacted, and any notes you add.

We also record two choices you make on the form: whether you agree to be contacted about your enquiry, and whether you also agree to be contacted by text message. The second one is optional and never a condition of anything.

Alongside the enquiry we keep a small amount of technical information: the browser identification string your device sends, and the date and time of the submission. We also use your IP address for a few minutes to limit repeated submissions from one connection; that address is not stored with your enquiry.

We do not ask for, and do not want, anything sensitive — payment card details, government identifiers, health information, or personal details about anyone other than you.

  • The form fields you fill in, exactly as you typed them.
  • Your consent choices, so we can show what you agreed to.
  • The submission time and browser identification string.
  • Nothing from advertising networks, and no profile of your browsing.

Cookies and analytics

This site does not currently set advertising cookies and does not run an analytics product. There is no tracking pixel, no session recording and no advertising identifier on this site today.

We may add privacy-respecting analytics later, so that we can see which pages are useful. If we do, it will be described here before it is switched on, including what is measured and how to avoid it. Any analytics cookie will be listed in this section, and nothing will be sold to a third party as a result.

Why we collect it

To answer your enquiry and, if you asked for one, to arrange and prepare for a consultation. That is the main reason and it is the only reason we ask for the fields marked required.

We also keep a record of enquiries so that a conversation does not have to be restarted from scratch, and so that we can answer a question later about what was sent. Beyond that we use it to keep the site working and to stop automated spam submissions.

Where it is stored

Submissions are stored on the server that runs this website, in a private append-only log file that is not reachable from the internet. It is not a public database and there is no login for visitors to it.

A customer relationship management system is not connected yet. When one is connected, accepted submissions will also be sent to it so that enquiries are not only in one place, and this section will name it. Until that happens, your enquiry exists only in our own records.

How long we keep it

We keep an enquiry while it is being worked on, and for up to 24 months after the last contact about it, so that a later question can be answered without asking you to repeat yourself. After that it is deleted.

If you ask us to delete it sooner, we will — see below. Deleting an enquiry does not remove records we are required to keep for tax or accounting purposes, and it does not remove a record that a client business holds separately about work done for them.

What we do not do with it

We do not sell your details. We do not share them with advertising networks, data brokers, list renters or anyone building a profile of you. We do not add you to a marketing list because you sent a message.

There are no third-party data-processing partners handling this website's form submissions today. If we add a service that does — an email provider or a CRM, for example — it will be named on this page, it will be bound to use the data only for us, and this policy will be updated before it goes live.

We would only pass information to someone else if we were legally required to, or to protect someone from serious harm.

Access, correction and deletion

You can ask what we hold about you, ask us to correct something that is wrong, or ask us to delete it. You do not have to give a reason, and asking will not affect how we deal with you.

To make a request, Email voxreceptsolutions@gmail.com, or use the contact form at /contact. Tell us the email address you used, and we will find the enquiry from that. We will confirm what we did, and we aim to respond within 30 days.

If you have asked to be contacted by text message, you can stop that at any time by replying STOP to any message — see the SMS terms for the detail.

Children

This is a business-to-business website. It is not directed at children, and we do not knowingly collect information from anyone under 16. If you believe a child has sent us details, contact us and we will delete them.

Changes to this policy

This policy will change as the business grows — when a CRM is connected, when analytics is added, or when the way we handle enquiries changes. The effective date at the top of this page always shows the version in force.

If a change materially affects what happens to information already sent to us, we will describe it here rather than quietly rewriting the past.

How to contact us

Questions about this policy, or about anything above, go to the same place: Email voxreceptsolutions@gmail.com, or use the contact form at /contact.
